We discovered Aprovall during an information session with our partner, Progisem. Aprovall is accessible through a connector in Progisem’s GO7 software, allowing us to comprehensively manage our suppliers.

As a contracting authority, we are required to collect regulatory information from companies we work with in public contracts. This process is time-consuming and must be repeated regularly to ensure that the information is current. Additionally, as our organization is divided by department, we would sometimes request the same documents from providers multiple times in a single week.

Before using Aprovall, we collected our providers’ documents by email, from the Kbis document to tax compliance certificates and insurance documents. This process was time-intensive for everyone and posed risks in document sharing via email.

Aprovall, which allows our providers to securely upload their documents free of charge, saves us time and guarantees an automated process for this repetitive task.

Additionally, Aprovall’s centralized file system means our providers upload their documents just once. They then update their records as prompted by automatic reminders from the platform.

As a result, their files are complete and accessible across our departments.

Implementing the Solution

The Aprovall team supported us throughout the entire implementation process. Two key steps were the import of our database and communication with our providers.

For communications, we were provided with email templates that make it easy and clear to inform providers about the platform and how to use it.

We decided to gradually onboard third parties, beginning with a small group. Within two months, we had integrated 200 third parties.

Internally, we have a dedicated person for Aprovall. They quickly and easily took control of the tool, independently managing the platform and checking for updates on a weekly basis.

Aprovall makes it easier to manage supplier records and ensures we receive all required administrative documents from our providers. Files are updated automatically with the necessary documentation.
